A business phone system for a small business used to mean hardware on a wall. Now it means picking which of your customers’ habits you are willing to serve: calling, texting, watching, or asking a question at 9pm. Six programs in our partner directory cover those habits.

Numbers and calls
KrispCall gives you business numbers, an IVR, call recording and a shared inbox without a phone system — good when you want work calls off your personal mobile. 800.com does one thing cheaply: a toll-free 800, 888, 877, 866 or 855 number that forwards to the phone you already carry, which buys credibility without changing how you work. Calilio is the full team version — virtual numbers in 100+ countries, routing, recording, SMS and AI call reports in one app across devices.
- One person, one mobile: a toll-free forwarding number is usually enough.
- Two or more people answering: routing and shared access stop calls dying in a voicemail box.
When nobody can pick up: Ruby
Live human receptionists, 24/7, who answer in your business name, transfer calls, take messages, answer FAQs and book appointments — plus website chat handled by the same team. Not a menu tree, which is the point.
- Good fit: revenue comes from inbound calls and you are on a job, driving or asleep.
- Skip it if: customers only email or book online. You would be paying for a quiet phone.
Texting: Salesmsg
Two-way business texting the whole team can see, with automations and CRM integrations. Customers answer texts they would never answer as a call from an unknown number.
- Good fit: quotes, scheduling and reminders.
- Skip it if: compliance in your category makes texting a headache.
Video: Switcher Studio
Multi-camera live production from iPhones — product demos, launches, classes and streams that look deliberate rather than accidental.
- Good fit: you already make video and want it to look produced.
- Skip it if: you do not make video. No tool fixes that.
The unglamorous truth: most small businesses lose more money to unanswered calls than to bad ad copy. Fix answering before you buy another traffic tool — and if you are paying for the traffic, track which calls it produced with call tracking and a CRM.
Building revenue that does not depend on one marketplace is the argument of Why Not to Sell on Amazon; the numbers behind it are in The Amazon Seller’s Pocket Guide. Full notes on all six programs are in the partner directory.
What an unanswered call actually costs
Take your average order value, multiply by your close rate on inbound calls, and that is what every missed call costs you on average — not zero. Most small businesses discover the number is several times what they were about to spend on more advertising. Fixing the answering side is usually the cheapest revenue available to a small operation.
Texting rules you cannot ignore
Business texting in the US requires registration and consent. Get opt-in properly, honour STOP immediately, and keep the record — carriers filter unregistered traffic hard, and the penalty for sloppy consent is far larger than any gain from a broadcast blast. Used correctly, text is the highest-response channel a small business has for quotes, scheduling and reminders.
Questions people ask
Do I need a separate business number?
Yes, as soon as anyone else answers calls or you want to stop working at 9pm. It also keeps your personal number out of public listings.
Is a virtual receptionist cheaper than hiring?
For most small businesses, yes — you pay for coverage rather than for a salary, and coverage includes evenings and weekends when a good share of inbound calls arrive.
Toll-free or local number?
Local signals proximity; toll-free signals scale. Businesses serving one town usually want local, businesses selling nationally usually want both.
